Job Responsibilities:

Recruitment & Selections:

  • –  Place advertisement and arrange interviews for shortlisted candidates with Line Managers;
  • –  Coordinate all pre-employment to employment activities necessary;

Payroll Administration:

  • –  Preparation of monthly employee payroll. Ensures salaries are calculated correctly with any statutory or other deductions correctly applied. Timely submission to banks and statutory boards accordingly upon approval;
  • –  Prepare monthly payroll report and reconciliation report to Finance;
  • –  Take charge of the TMS, leave administration, leave accrual, sick leave etc. in HRMS.

Training & Development:

  • –  Prepare Annual Training Plan according to Learning Plan & Training Matrix;
  • –  Liaise with Line Managers, HSE, TQC & training providers on employees’ external and internal trainings;
  • –  Apply for training grants with the relevant authorities or institutions;
  • –  Sourcing for relevant training providers whenever necessary;
  • –  Preparation of training materials or presentation whenever necessary;

Documentation & Record Keeping:

  • –  Maintain all personnel file ensuring strict confidentiality of information;
  • –  Maintain all personnel medical records and claims, ensuring that routine medicals are arranged and completed on time;
  • –  Maintain all personnel training records and coordination of training with service providers & HSE;
  • –  Maintaining, and ensuring timely update of all company records and licences;

Others:

  • –  Arrange & liaise with appointed clinic and Line Managers on periodical OH checks;
  • –  Carry out required administration functions within the office;
  • –  Perform any other roles and responsibilities as assigned;
  • –  Complies with HSESQ Management System, in-house rules and regulations;
  • –  Report any unsafe acts and conditions, near-miss and incident immediately;
  • –  Support HSESQ programs by participating in relevant committee’s membership and emergency response team assigned, campaigns, activities and events and training provided.
