– Quotations & Invoicing: Issue quotations, order confirmations, and invoices to clients, ensuring accuracy and timely delivery.
– Inventory Management: Regularly check stock and inventory levels, and coordinate with relevant teams to maintain optimal stock levels.
– Documentation & Filing: Maintain organized filing systems for all company documents, including invoices, order confirmations, and delivery orders.
– Shipment Monitoring: Monitor and track the status of shipments, ensuring timely deliveries and communicating any delays or issues to relevant stakeholders.
– Import & Export Documentation: Prepare invoices, delivery orders, and packing lists for both import and export transactions, adhering to all relevant regulations.
– Office Management: Oversee office cleanliness and ensure the workspace is conducive to productivity.
– Sales Support: Provide guidance and support to the Sales Support team, assisting with administrative tasks and customer inquiries.
Qualifications:
– Minimum Certificate or Diploma in Business Administration, Logistics, Supply Chain Management, or a related field.
– At least 2 years of relevant experience in an administrative role.
– Experience with SAP or other ERP software is preferred.
– Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
– Strong organizational and multitasking skills.
– Excellent communication skills, both written and verbal.
– Ability to work independently and as part of a team.
