Job Overview:


As a Project Administrator Executive, you will play a vital role in coordinating and supporting the efficient execution of projects. You will be responsible for managing project activities, preparing documentation, tracking progress, and liaising with project teams and stakeholders. Your organizational skills, proactive attitude, and ability to manage multiple tasks will ensure projects are completed on time, within scope, and meet client expectations.

 

Job Description:

Project Initiation & Coordination:

–  Coordinate project start by obtaining necessary approvals for engineers to begin on-site.

–  Organize resources and ensure all project documentation is ready before work begins.

Issue Resolution & Communication:

–  Serve as the point of contact to address project-related issues and work with the team to resolve them.

–  Keep the team and clients updated on project developments.

Document Preparation & Handover:

–  Prepare documents for project completion and handover to clients and maintenance teams.

–  Ensure smooth transitions by keeping all information accurate and up-to-date.

–  Ensure sub-contractor invoices are reviewed and approved on time for payment processing.

–  Track and follow up on payment approval.

Project Progress Monitoring & Reporting:

–  Work with the engineering team to track and manage project progress.

–  Ensure projects stay on schedule and identify any potential delays.

–  Monitor daily project status, including completion dates, and provide progress updates to management.

–  Ensure that milestones and deadlines are met according to plan.

Timesheet & Record Management:

–  Follow up with team members to ensure accurate timesheet entries.

–  Maintain organized records of project documentation.

General Administration & Support:

–  Handle general administrative duties to support the engineering department.

–  Maintain organized office systems to ensure smooth project operations.
